1 · Information We Collect on the Site

Information you provide voluntarily.

  • Discovery-call intake form: first and last name, email address, phone number (optional), New Jersey county, who needs support (e.g., yourself, a parent), your selected coordination lane(s) (A — Healthcare, B — Benefits, C — Home & Lifestyle), urgency, package interest, video-call comfort level, how you heard about us, and your consent acknowledgment.
  • Early-access / interest form: name, email address, and coordination lane of interest.
  • Direct contact: any information you include when you email or call us.

What we deliberately do NOT collect on the Site: health, medical, benefits, or care details. Our intake form is designed to collect contact and routing information only. Health-related information is gathered exclusively after engagement, on a private discovery call and through secure channels covered by Business Associate Agreements, under a separate written authorization. Visitors should avoid submitting health, medical, benefits, or care information through website forms, email, or other public communication channels.

Information collected automatically. Our hosting provider (Squarespace) collects standard technical and analytics data when you browse: IP address, browser and device type, pages viewed, referring pages, timestamps, and cookies used for site functionality and first-party analytics. We do not use advertising trackers.

2 · How We Use the Information We Collect

  • To respond to your inquiry and schedule your free discovery call.
  • To route your request appropriately (e.g., by county and coordination lane) and prepare for your call.
  • To provide and administer our services if you become a client.
  • To send the newsletter or early-access updates you signed up for (you may unsubscribe at any time).
  • To operate, secure, and improve the Site (aggregate analytics).
  • To detect, investigate, prevent, and respond to security incidents, fraud, misuse of the Site, or other unlawful activity.
  • To comply with legal obligations and enforce our terms.

We do not sell personal information, and we do not use your information for third-party advertising.

3 · When We Disclose Information

  • Service providers (processors): vendors that perform functions on our behalf under our instructions — such as website hosting, appointment scheduling, workflow automation, our client-relationship database, email and document infrastructure, billing and e-signature, and newsletter delivery (newsletter only if you opt in). Each provider receives only the information necessary to perform its function. Service providers are required by contract to safeguard personal information, use it solely on ClearPath's behalf and in accordance with our instructions, and are prohibited from using or disclosing the information for their own marketing or other independent purposes.
  • Professional advisors: attorneys, accountants, or insurers, under confidentiality obligations.
  • Legal requirements: when required by law, subpoena, or to protect the rights, safety, or property of ClearPath, our clients, or others.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this policy.

We never sell or rent your personal information, and we do not share it with third parties for their own marketing.

4 · Your Choices

  • Marketing: every newsletter or update email includes an unsubscribe link; you may also email us to opt out.
  • Access, correction, deletion: you may request access to, correction of, or deletion of your personal information (deletion subject to legal retention requirements). We will respond within a reasonable time and, where applicable, within any period required by law.
  • Cookies: you can control or delete cookies through your browser settings; the Site remains usable with cookies limited, though some features may be affected.
  • Do Not Track: the Site does not respond to browser Do-Not-Track signals; we do not engage in cross-site tracking.
  • State rights: depending on your state of residence, you may have additional rights relating to access, correction, deletion, portability, or limitation of certain processing activities.

5 · Third-Party Tracking and Online Advertising

We use only first-party analytics provided by our hosting platform. We do not use third-party advertising networks, ad pixels, or cross-context behavioral advertising, and we do not sell or share personal information for targeted advertising. If this ever changes, we will update this policy and provide any legally required opt-outs first. Analytics information may be collected through cookies or similar technologies used solely to understand Site performance and visitor interactions.

6 · Third-Party Services

The Site links to services operated by third parties — for example, Calendly (to book your discovery call), HoneyBook (our client portal and payments), and Zoom (video calls). When you use those services, their own privacy policies govern the information you provide there. ClearPath is not responsible for the privacy, security, or data-handling practices of third-party services.

7 · Data Security

  • Information submitted through the Site is transmitted over encrypted connections (HTTPS/TLS).
  • We follow a minimum-necessary design: the Site collects no health information, and internal access to your information is limited to those who need it.
  • Health and benefits information, when later provided by engaged clients, is handled only in systems covered by Business Associate Agreements, under our internal privacy and security policies.
  • We maintain a written incident-response policy. No method of transmission or storage is 100% secure, but we work to protect your information with appropriate administrative and technical safeguards.

ClearPath Coordination LLC is not a HIPAA covered entity and does not represent that all of its services or systems are subject to HIPAA. In the event of a security incident affecting personal information, ClearPath will take steps it deems appropriate under the circumstances and will provide any notifications required by applicable law. The Site is not intended to serve as a HIPAA-covered communication platform, and visitors should not submit protected health information through website forms.

8 · Data Retention

We retain personal information only for as long as reasonably necessary to fulfill the purposes described in this Policy, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records. Retention periods vary depending on the type of information and applicable legal requirements.

9 · SMS / Text-Message Communication

Current status: ClearPath does not currently send text messages to clients or prospective clients. If you provide a phone number on our intake form, we use it to contact you by phone about your discovery call.

If and when we offer SMS updates, the following will apply: you will receive text messages only with your express prior opt-in consent; message frequency varies; message and data rates may apply; reply STOP to cancel at any time and HELP for help; consent to receive texts is never a condition of purchasing any service.

No mobile-information sharing. No mobile information (including phone numbers and SMS opt-in consent) will be shared with, or sold to, third parties or affiliates for marketing or promotional purposes. ClearPath will maintain records of SMS opt-in consent, opt-out requests, and related preferences in accordance with applicable legal, regulatory, and carrier requirements. Text-messaging originator opt-in data and consent are not sold, rented, or shared with third parties for their own marketing purposes.

10 · Jurisdictional Issues

ClearPath provides services to New Jersey residents and their families (including out-of-state family members coordinating care for a New Jersey resident). The Site is operated from the United States, and any information you submit is processed and stored in the United States.

This policy and any dispute arising from it are governed by the laws of the State of New Jersey, without regard to conflict-of-law principles.

The Site is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it. If we become aware that we have collected personal information from a child under 13 without appropriate authorization, we will take reasonable steps to delete such information as required by applicable law.

If you access the Site from outside the United States, you do so on your own initiative and consent to the processing of your information in the United States.

11 · Changes and Updates to This Policy

We may update this policy from time to time. The effective date at the top reflects the latest revision. Material changes will be indicated on the Site. To the extent permitted by law, your continued use of the Site after changes become effective constitutes acceptance of the revised Policy. Where required by applicable law, we will provide additional notice or obtain consent before material changes take effect.
